THE PROBLEM

The operational bottleneck.

Walking the aisles with a notepad, cross-checking what sold, and emailing four suppliers before the cutoff. Doing supplier orders by hand eats hours of ownership time and risks out-of-stock items or over-ordering.

WHAT CHANGES

Material change in your daily operation.

BEFORE

Walking the aisles with a notepad, cross-checking what sold, and emailing four suppliers before the cutoff. Doing supplier orders by hand eats hours of ownership time and risks out-of-stock items or over-ordering.

AFTER

Supplier orders take minutes instead of evenings. You maintain optimal stock levels without manual walks, and reduce capital tied up in excess inventory.

SYSTEM ARCHITECTURE

How the automation connects.

Every build integrates directly into your existing communication channels and booking systems with zero workflow disruption.

DELIVERABLES

What we build and deploy.

Concrete system artifacts, configurations, and working documentation handed over upon completion.

01Automatic data connection that reads sales and inventory levels from your POS system
02Supplier order drafting: a scheduled script calculates exactly what needs to be ordered to meet your stock thresholds
03One-click approval: a draft order is compiled and sent to you. You review, click approve, and it goes out to your suppliers formatted exactly how they want it
04Low-stock and discrepancy alerts sent to your phone before it affects your customers
FIT ASSESSMENT

Where this build is most effective.

01 / GOOD FIT

Organizations and workflows engineered for this capability:

  • +Retail stores: Supplier orders, missed calls, and reviews - handled while you run the floor.
  • +Restaurants: Reservations answered during the rush, no-shows cut, reviews handled.
  • +Salons & spas: No-shows cut in half, bookings taken mid-cut, lapsed clients won back.
  • +Boutique & specialty retail: Real-time stock sync between POS and online store, and automated reorder drafts.
  • +Catering & event food services: Instant inquiry quoting, automated menu selection intake, and invoice follow-ups.
02 / NOT A FIT

When a different starting point is recommended:

  • ×The underlying operational bottleneck has not been identified yet.
  • ×The existing process changes daily and has not stabilized into a repeatable workflow.
  • ×A manual check of the process has not yet been attempted.

TECHNICAL NOTES & FAQ

Questions about inventory & supplier ordering.

Implementation details, operational constraints, and practical questions.

Does it work with legacy suppliers who do not have APIs?+

Yes. The system compiles the orders and formats them as standard emails or PDFs, sending them automatically to whatever email or ordering portal your supplier uses.

What if sales spike and I need to override the draft?+

You stay in full control. The draft order is sent to you first. You can easily tweak quantities or add custom items on your phone before approving it.

How does it handle partial shipments or backorders?+

We set up a simple checklist in your dashboard or spreadsheet. When shipments arrive, staff mark what was received, and the system automatically flags discrepancies to the supplier.
